Why warehouse FM is different

Warehouse and logistics facilities present FM challenges that commercial office buildings simply do not have. 24/7 operations with no maintenance windows. High-traffic floor surfaces under constant MHE abuse. Loading dock systems that must function on every shift. Large foreign worker populations requiring multilingual safety communications. And the constant pressure that any FM failure — a breakdown, a flooding incident, a power outage — translates directly to missed shipments and operational penalties.

After 20 years managing multi-site DHL Supply Chain facilities across Malaysia, these are the best practices that consistently deliver results.

1. Build your BCP around the facility’s critical systems — not a generic template

Every warehouse has a different set of critical systems. For a cold chain facility, power to refrigeration is the absolute priority. For a high-throughput fulfilment centre, dock leveller operability is critical. For a facility in a water disruption-prone area, standby water supply is essential. Map your specific critical systems, assess the failure scenarios, and build BCP responses around your actual operational dependencies — not a generic template. We maintained 700 employees through a multi-day water disruption because we had a pre-installed standby water tank and a vendor on speed dial to supply water tankers. That infrastructure existed because we had planned for the scenario.

2. Right-size your cleaning team through a shared responsibility model

Warehouses with large workforces often have oversized cleaning teams based on historical headcount rather than actual need. The most effective model we implemented at DHL was a shared responsibility approach — each operational team took ownership of their own work area, with one dedicated cleaner supporting them rather than replacing them. This reduced our cleaning team from 22 to 11 people with no reduction in hygiene standards. The key is clear ownership, visible accountability, and a supervisor who checks compliance daily.

3. Make energy efficiency your first CAPEX investment

Warehouse buildings typically have large roof areas — ideal for solar — and high energy consumption from lighting, MHE charging, and HVAC. LED high-bay lighting replacement delivers the fastest payback of any FM capital investment — typically 18 to 24 months — and then delivers pure savings for the remaining 10+ year lifespan. At DHL, we replaced 400-watt conventional high-bay fittings with 120-watt LED plus motion sensors — reducing lighting energy consumption by 70%. Solar panels on the warehouse roof further reduced TNB dependency. These are not aspirational green initiatives — they are financially justified capital investments.

4. Safety communication must reach your foreign worker workforce

Malaysian warehouse facilities typically have large foreign worker populations — Bangladeshi, Indonesian, Nepali, and other nationalities. Safety briefings delivered only in Bahasa Malaysia or English will not reach these workers effectively. Toolbox talks, safety signs, emergency evacuation procedures, and Go-Green awareness campaigns must be delivered in the language your workers actually understand. We developed multilingual safety materials at DHL — and the safety record and environmental awareness across the workforce measurably improved as a result.

5. MHE maintenance is a shared responsibility between FM and operations

Material handling equipment — forklifts, reach trucks, pallet jacks — is the operational team’s responsibility in most organisations. But FM interfaces with MHE in critical ways: charging bay electrical maintenance, floor surface condition (MHE tyre damage is accelerated by poor floors), door and dock leveller operability, and battery charger management. Implementing automatic charger cutoff systems prevents overcharging, extends battery life, and reduces energy waste. Establishing clear FM-operations protocols around MHE infrastructure prevents both equipment damage and costly disputes over responsibility.

6. Track maintenance data — then use it

CMMS implementation in warehouses is often incomplete — work orders are logged but the data is never analysed. The real value of a CMMS is in the patterns it reveals: which assets fail most frequently and why, which planned maintenance tasks consistently prevent reactive failures, which contractors consistently meet or miss their SLA response times, and which utility consumption trends indicate equipment faults before they cause failures. Review your CMMS data monthly — not just to close work orders but to identify what it is telling you about your facility.
